About Hillside Church
Hillside Church is a growing, multi-generational, evangelical church situated in the center of North Vancouver, British Columbia (hillsidebaptist.ca). We are organized around Jesus’ command to love God with all of our heart, soul, mind and strength—and to love our neighbours as ourselves. To this end, in addition to gathering weekly as a whole congregation, we are establishing community groups throughout the North Shore and equipping believers to engage in conversation and action in the local neighbourhoods. The church also has a working partnership with Columbia Bible College (CBC) and has established an accredited North Shore School of Mission (NSSM) to train undergraduate students for ministry.
The Church Administrator provides a vital and valuable support role for the mission, ministry, and discipleship of the whole church. This role, which serves as the primary administrator on the Hillside Church staff team, is a part-time, on-site position at Hillside Church, Monday -Thursday. The total hours are 20-30 per week, requiring occasional evening and weekend availability for special events. The role includes the following essential elements:
o Provides administrative support for pastors, staff, and church leadership
o Thrives in a multi-tasking environment, using strong organizational and problem-solving skills
o Employs excellent collaborative and interpersonal skills in a people-intensive environment
o Stands out as a very strong team player
o Engages and interconnects with people inside and outside the congregation
o Operates discreetly in situations that require confidentiality
o May also provide internal and external communications for Hillside Church and NSSM promotional assets and/or assist with facilities management tasks
Approximately 50% – General administration
o Complete a broad variety of administrative tasks for Hillside Church, which include but are not limited to: responding to inquiries, maintaining subscriptions and licences, coordinating the schedule of church events, paying bills, posting minutes, purchasing office supplies, etc.
Approximately 50% – Other activities including:
Facility Maintenance and Building Rentals
o Work with the Property Team who are responsible for tasks including the maintenance and upkeep of church building and grounds.
o Coordinate and manage all stages of building and parking lot rentals for Hillside Church. Ensure policies established for the use of Hillside Church are followed.
Communications and Information Technology
o Streamline communications and stay up to date with advances in technology.
o Work with church Communications Team and external graphic designers to coordinate the creation of print and digital assets for the church.
o Work with Deacons to establish visitor contact for Hillside Church from first visit through New Member Class. Ensure contact data for Hillside members and attenders is up to date and maintain an online church calendar that anticipates key events and dates to support planning.
o Prepare orientations and staff training for new employees including: training on telephone systems, office equipment, computers and emergency/security procedures. Maintain master list of staff working hours and planned vacation.
General Requirements for all staff
o Pray regularly and actively develop one’s personal faith. Sense God’s calling to this ministry and be eager to use one’s gifts and talents to serve Christ. Commit to invite and equip congregants to serve in the same way.
o Minimum of 3 years relevant administrative work experience
o Excellent computer skills and proficiency in Microsoft products (including Word, Excel, Power Point and Exchange/Outlook); experience with Adobe software (including Illustrator, In Design, and Acrobat) a plus
o Excellent interpersonal, organizational and project management skills with a fine eye for detail
o A good communicator who also works well with confidential information
o A self-starter and a team-player who is able to work with minimal direction/little supervision
o Ability to handle multiple tasks simultaneously and be organized, flexible and personable
o Relevant experience in communications and promotion, or facilities management a plus
