Position: Dean’s Executive Assistant
Institution: St. Andrew’s Hall (SAH)
Overview: SAH is seeking a highly organized and mission‑aligned Executive Assistant to support the Dean and Assistant Dean. This role ensures the smooth functioning of the Dean’s Office through exceptional administrative coordination, communication, and relationship‑building.
Key Responsibilities:
· Provide executive‑level administrative support to the Dean and Assistant Dean
· Coordinate meetings, agendas, minutes, and follow‑up actions for Executive Staff and the SAH Board
· Prepare reports, correspondence, and communications on behalf of the Dean, including updating the website and social media
· Maintain faculty personnel files and prepare appointment/contract letters · Organize events and support SAH departments as directed
· Manage calendars, travel, filing systems, and confidential communications
· Manage communications for SAH including updating the website and social media
· Recommend improvements to office processes and cross‑departmental workflows
Qualifications:
· Administrative Assistant diploma required; university degree an asset
· Minimum 5 years of progressively responsible administrative experience
· Experience supporting senior leadership; university environment experience an asset
Skills & Abilities:
· Strong organizational and time‑management skills
· Excellent interpersonal and communication abilities
· Ability to work in politically sensitive environments with integrity and discretion
· Proficiency in MS Office, Canva, Eventbrite, Mailchimp, and social media tools
· Skilled in minute‑taking and managing multiple priorities in a fast‑paced setting
