Position Title: Parish Administrator
Hours: Monday to Thursday, 9 a.m.–3 p.m. (24 hours per week)
Location: In-person (parish office)
SUMMARY OF POSITION
The Parish Administrator is the welcoming presence and organizational hub of our parish. Working collaboratively with clergy, staff, volunteers, parishioners, and community partners, this role ensures smooth daily office operations, oversees parish communications and documentation, and supports church programs and Sunday volunteer ministries.
RESPONSIBILITIES
Office Administration & Support
· Extend warm, courteous service to all inquiries via phone, email, and in-person.
· Provide general administrative support for parish programs and events.
· Attend weekly staff meetings.
· Maintain office supplies and equipment.
· Manage membership database and organize parish files in Microsoft Teams.
· Coordinate space bookings, building access, and key distribution.
· Coordinate administrative arrangements for baptisms, weddings, and memorial services in consultation with the Rector.
Communications
· Prepare and print weekly service bulletins and other worship materials under the direction of the Rector.
· Prepare and send the weekly parish e-blast using Constant Contact.
· Maintain the parish website, email networks, and communication channels.
Financial, Records & Compliance Management
· Support the Treasurer with basic accounts payable/receivable, invoice processing, and cheque preparation.
· Collect and assemble materials for the Annual Vestry Report.
· Prepare the annual Parochial Report for the diocese in coordination with the Rector.
· Oversee Safe Church compliance, including training and criminal record checks.
QUALIFICATIONS
· Proven experience in office administration, reception, or customer service.
· Experience working in a church, non-profit, or faith-based organization is considered an asset.
· Excellent verbal and written communication skills with a warm, welcoming, and hospitable approach to parishioners, visitors, and volunteers.
· Experience with Microsoft Word, Outlook, and Teams (or similar digital collaboration tools), as well as email communication platforms (such as Constant Contact) and basic website updating.
· Strong organizational and time-management skills and the ability to work independently in a quiet office setting.
· High level of integrity with a strong commitment to maintaining confidentiality and managing sensitive parish records appropriately.
· Willingness to undergo screening in accordance with the Diocese of New Westminster Screening in Faith policy, including providing a current Police Record Check with Vulnerable Sector Check.
COMPENSATION & WORKING CONDITIONS
· On-site/in-person at the parish office during scheduled hours.
· $28.00 per hour.
· Eligible to join the Diocesan Lay Workers’ Benefits Plan (includes extended health, dental, vision, life insurance, EAP, disability, and pension).
· 2 weeks paid vacation per year, plus paid statutory holidays that fall on regularly scheduled workdays.
· Reports directly to the Rector, with regular check-ins, initial 3-month probation, and ongoing annual reviews.
